About The Role as Executive Assistant – Remote Job in USA

We are seeking a highly organized and proactive Executive Assistant – Remote Job in USA to support our senior leadership team. The ideal candidate will act as the central point of coordination, ensuring smooth scheduling, meeting preparation, travel arrangements, and administrative workflows. This role requires someone with a personable demeanor, excellent communication skills, and the ability to thrive in a fast-paced, dynamic environment. You will be responsible for managing complex calendars, coordinating internal and external meetings, preparing agendas and materials, and providing onboarding support for new hires and vendors. Additionally, you will handle expense reports, assist with project work, and support the team’s operational needs. Qualifications

  • Minimum of 5+ years of experience as an administrative assistant or in a similar support role
  • Proficiency with Microsoft Word, Outlook, PowerPoint, Zoom, Concur, BOX, and other relevant tools
  • Strong interpersonal and communication skills, with the ability to work across all levels of the organization
  • Exceptional organizational skills and attention to detail
  • Ability to multitask and prioritize in a fast-paced environment
  • High level of confidentiality, discernment, and judgment
  • Experience in leveraging or critically analyzing AI tools and workflows is a plus
  • Proactive work ethic with the ability to anticipate needs and act independently
  • Flexibility to adapt to changing priorities and work under pressure
  • Experience supporting senior executives and managing complex schedules and travel logistics

Responsibilities

  • Coordinate and manage calendars for senior leaders, including scheduling internal and external meetings, virtual sessions, off-site events, and one-on-one appointments
  • Prepare meeting agendas, gather relevant materials, and ensure timely distribution prior to meetings
  • Assist with meeting logistics, including food orders, technical setup, and note-taking
  • Handle all travel arrangements (flights, hotels, transportation) for domestic and international trips
  • Manage expense reports and reimbursements in a timely manner
  • Support onboarding processes for new hires, including workspace setup, equipment requests, and orientation scheduling
  • Coordinate onboarding for new vendors and agencies, ensuring proper access and documentation
  • Assist with project work and other operational tasks as needed to support team objectives
  • Manage help desk support requests for senior directors and troubleshoot issues as they arise
  • Act as a liaison between leadership and various internal and external stakeholders, fostering effective communication
