We’re looking to hire an Executive Assistant to support a groups of Sales VP’s and Senior Sales Leaders within NORAM. In this role you will provide comprehensive support to the VP of Sales and their team with diary management, travel management, meeting preparation and support as well as monthly operational requirements. In this role, it will be critical to leverage your ability to anticipate needs, think critically, and offer solutions to problems with a high level of professionalism and confidentiality.
Job Responsibilities:
Manage day-to-day functions for the VP of Sales/Senior Sales Leadership including scheduling, travel arrangements, meeting preparation, events, expense reports, etc.
Plan and oversee logistical arrangements for meetings, including space and facility needs, meals and refreshments, supplies, and technology
Help create an inclusive and positive culture collaborating with the other internal stakeholders to identify opportunities to improve the employee experience, onboarding and engagement activities
Provide sophisticated calendar management to optimize time management, prioritize conflicting needs and requests while troubleshooting conflicts; make judgements and recommendations to ensure smooth day-to-day engagements.
Ensure VP and RVPs are well informed of and prepared for upcoming commitments and responsibilities as well as capturing outcomes and next steps to facilitate follow up.
Making complex and detailed travel arrangements and completing travel reports
Assisting with meeting agendas and managing logistics for meetings and events. Act as a gatekeeper, screening and prioritizing communications, emails, and requests for the executive team
Support with monthly operational requirements such as approvals, expenses, POs etc
Comfortably handle highly confidential and time sensitive information with necessary care and prioritization
Flex to complete various assignments and additional duties to ensure comprehensive and effective support such as Prepare and edit correspondence, Presentations, and reports for internal distribution
Minimum Requirements:
HS diploma or GED
6+ years of relevant Executive Assistant experience
Preferred Requirements:

Self-starter with the ability to work under minimal guidance and direction
Ability to meet deadlines under pressure
Exemplary planning and time management skills

High degree of personal and professional integrity and the ability to work with confidential information
Excellent communication skills, both verbal and written

Proven ability to manage conflicting priorities in a fast-paced environment
Willingness to work outside regular business hours as needed
Global experience preferred
Excellent interpersonal skills, and a strong customer service orientation
High-level of proficiency with Microsoft Office (Outlook, Word, Excel, PowerPoint, and SharePoint), and ability to quickly adapt to new technologies, including portals used for Board of Director communications

Compensation and rewards
The salary range for this role is $100,000 – $130,000. When determining your salary, we consider your experience, skills, education, and work location.
