The Farmlink Project is a fast growing nonprofit on a mission to connect farms and food supply companies with surplus food to communities across the country, while reducing carbon emissions and healing the planet. The Farmlink Project was founded amid the pandemic by college students, and since April 2020, has worked to connect farms with surplus food to communities across the nation at an increasing scale.
Position Description:
The Food Program Data Entry Assistant will be responsible for: recording and keeping track of food donations; the collection, review, and verification of corresponding documentation; and ensuring data is complete and accurate. To do so you will work closely with the Food Program Operations and Accounting Associate and entire Food Program staff team, our transportation providers, and our receiving agencies to ensure the collection of all needed information and documents. As a regular touchpoint between Farmlink Project and our many partners, you will also be responsible for maintaining excellent customer service and positive professional relationships with all of our stakeholders.
You will be a key member of our Food Program team and report to the Food Program Operations Manager. This is a part time remote position requiring availability during standard business hours. There is potential in the future for this role to expand into a full time position, based on Farmlink’s growth and needs.
Responsibilities & Expectations:
Administrative and Clerical Support for Food Program Operations
- Record and document Farmlink Project food donations and associated costs using our supply chain management software platform.
- Work with transportation vendors and receiving agency partners to collect, review, and save shipping and receiving paperwork, donation receipts, confirmations, and invoices.
- Ensure transportation vendors’ compliance with paperwork and invoicing policies.
- Maintain and update database of receiving agency and recipient contact information.
- Assist with reporting of food donations, transactions, freight expenses, and metrics.
Partner & Vendor Relations
- Prepare paperwork and donation receipt for food donors as needed.
- Maintain customer-service model relationship, frequent communication, and positive rapport with all partners, vendors, and donors.
General
- Support other data entry projects on an as needed basis, as assigned.
- Remain responsive, communicative, and engaged during your communicated hours.
- Connect with Farmlink Project team members to learn from and support their work contributing to the organization’s mission.
Qualifications:
- Minimum 1 year experience in high-volume, time-sensitive data entry work
- Proficient with Google Sheets and/or Microsoft Excel
- Able to organize and prioritize tasks and projects and ensure they are completed on time
- Respectful and empathetic communication through phone, email, and in-person
- Able to learn and use new computer programs
- Authorized to work in the United States, and, able to complete all job duties remotely
- Fluent in Spanish (preferred)
- Experience in food supply chain, hunger-relief, food recovery, transportation (preferred)
