Position Overview
The Office Assistant will play a key role in supporting day-to-day administrative tasks, helping maintain office organization, and ensuring smooth operations. Key Responsibilities
General Office Support: Perform day-to-day administrative tasks such as answering phones, greeting visitors, and handling incoming and outgoing mail.
Calendar Management: Assist with scheduling meetings, appointments, and travel arrangements for staff members and management.
Document Management: Organize and maintain office files, ensuring all documents are easily accessible and up-to-date.
Office Supplies: Manage inventory of office supplies, placing orders as needed to ensure the office is well-stocked and organized.
Data Entry: Assist in entering and maintaining accurate data in various systems or spreadsheets.
Communication: Serve as a liaison between departments, communicating key information or updates to team members and clients.
Event Coordination: Help organize and coordinate company events, meetings, or team-building activities as needed.
Office Maintenance: Ensure the office space remains clean, organized, and presentable at all times.
Ad Hoc Administrative Tasks: Provide additional support to management and teams on various tasks or projects as required.
Required Qualifications
Experience: Previous experience in an administrative or office assistant role is preferred, but not required.
Organizational Skills: Strong organizational and time-management skills with the ability to prioritize tasks effectively.
Communication Skills: Excellent verbal and written communication skills, with a professional demeanor when interacting with staff, clients, and visitors.
Technical Skills: Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and basic office equipment (printers, scanners, fax machines).
Attention to Detail: High attention to detail and accuracy in completing tasks.
Multitasking Ability: Able to handle multiple tasks simultaneously while maintaining efficiency and accuracy.
Positive Attitude: Friendly, proactive, and flexible attitude with a focus on teamwork and providing support where needed.
Preferred Qualifications
Experience with office management software (e.g., Microsoft 365, Google Workspace, etc.).
Knowledge of basic bookkeeping or financial administration is a plus.
Previous experience in a corporate or financial services environment is an advantage.
