Job Description

The Rollout Crew Professional Services organization is seeking an experienced Office Manager to take ownership and accountability for the management and overseeing HR, financial, and operational aspects of our office. This includes managing a fractional HR and financial team, supporting staff, and fostering a professional and productive office environment aligned with our company culture.

As Office Manager, you’ll serve the organization as the primary communicator to our internal teams regarding the overall administrative needs. This position reports to the CEO and will be based remotely from a US location. We’re looking for someone to join us immediately.

What You Will Do

  • Employee Support and HR Coordination
  • Oversee and collaborate with a fractional HR team to coordinate onboarding, offboarding, and employee records management.
  • Assist the HR team with recruitment efforts, including interview scheduling and supporting employee inquiries.
  • Serve as a point of contact for HR policies, benefits inquiries, and employee resources.
  • Financial Management
  • Oversee office budgeting and track all related expenses in coordination with a fractional financial team.
  • Collaborate with the financial team to manage billing, invoicing, and assist with payroll processing as needed.
  • Regularly communicate with our finance team regarding accounts receivable and payable. Provide updates on new contracts, billing procedures, and address any inquiries.
  • Technology and IT Coordination
  • Work closely with IT to manage office technology, including computers, phones, and software.
  • Serve as a liaison between staff and IT support to address minor tech issues.
  • Communication and Culture Building
  • Foster a positive office environment that supports the company culture.
  • Organize team-building events, celebrations, and office-wide communications.
  • Act as a go-between for employees and management, addressing concerns and feedback.
  • Project Management and Special Projects
  • Assist with or lead special projects, such as office relocations or new system implementations.
  • Provide project support across various departments as needed.
  • Continually search for ways to bring value to our clients

Experience

  • Proven experience as an Office Manager, Administrative Manager, or similar
  • Proficiency in MS Office and office management software
  • Able to document well and follow processes
  • Strong organizational and leadership skills
  • Strong problem-solving and decision-making abilities
  • Exceptional communication and interpersonal skills
  • Bachelor’s degree in Business Administration, HR, or similar is preferred
  • Construction background is preferred
